I am an English tour guide working for an online platform and travel agency that connects local guides with travellers. Bookings are instantly confirmed through email. I am responsible for three tours(Foodie Tour, Off-the-beaten-path Tour, Nightlife Tour) at the moment, and also answer any questions related to additional tour details and tour personalisation through the Withlocal application or website. The tour guide is required to have an excellent command of English, pre-calculate budgets, and prioritize the itineraries of each tour.

My main responsibilities can be divided into 2 parts as the following:
Part one is that I pick up and transfer the inbound and outbound calls to the staff or
Departments that callers request. The calls are from customers and travel agencies from Asia, USA, UK, Europe, including domestic hotels/travel agencies. Additionally I welcome customers and guests at the counter located on the ground floor. If they have any inquiries about service, staff or departments they want to contact, I will be the first person to provide contact details through a telephone and/or emails or face-to-face communication. To sum up is, that Part one is about coordinating between customers/agents and AWE’s colleagues from pertinent departments.
Part two is (1) that I seek online potential applicants for vacancies from online job post/seeker websites where there are plenty of resumes for employers to choose and (2) I make the absent and late staff report.
I would like to explain (1) my first assignment which is recruitment. After finding a prospective applicant on a website, I need to call them to make an interview appointment. If they decide to join a recruitment process, I will send them an email
containing appointment dates, times, maps, document preparation, and the positions they
would like to apply for. The appointment Email is also CC-ed to interviewers who are an
HR manager, related managers/directors from departments whose positions are available, and a general manager. On the date when the candidates come to an interview, I also make an arrangement for meeting room reservations. After all candidates complete the recruitment process, I input the data about the result of the interview into the HR database and send an Email to the management team to
explain the details of interview outcomes.
(2) My second duty is to make a daily report about absent and late staff and send it to the management. The report is divided in 2 parts: leave and late scores. The details must be correct before emailing the report. On the leave report, I need to check several
sources to make sure they are really absent. I check through Email, and leave forms.
Often I have to check with employees’ supervisors to input the reasons why they appear
in the absence list. The second report is the late staff report. To get employees’ time
attendance, i need to pull data from the Star505 (gotten from card-scanning) to check if
they are late for work. For the staff who comes to work late and their late time will be
put into the report and calculated for minus scores each day. The late scores range from
-1 to -10. After I put absent and late staff information in the report, I manage to email
the report to the management team.
Other responsibilities
-Translate and update documents, for example, company regulations, rules of computer
usage, legal terms(Damage Deposit Contract) and informative posts on the wall/doors and HR paperwork
-Coordinate between an HR manager and official officers from Departments of the
Revenue, the Social Security and the Immigration, etc.
-Print out documents related to Human Resources Department.
-Hand in letters/parcels to staff from departments.
-Compose/Contribute to Thai and English documents about interview appointment
letters, Details about the recruitment process and document preparation for the
interview
- Check the hours of overtime on OT forms, correct them (if wrongly filled in) and email
the digital attendance sheets to the HR manager to recheck on the forms for the utmost
precision before submitting to Accounting and Finance Department.
-Issue certification letter about Employment Certification (Work Experience), Income Letter (to make Visa and to show a financial proof for making a loan contract with a bank)

Responsibilities: Import/Export (BHI Holding Public Company): In case of importing the overseas merchandises, I cooperate with Embassy of the Republic of
Nicaragua to Japan in order to request/inquire the details about Nicaraguan export firms and
contact information, and cooperate with the embassy over issuing Nicaraguan Visa/Passports
to the customers who would like to travel to Nicaragua. In term of importing the brandnew
products which are appealing to my company, I myself need to research the information
about them and companies and coordinate with them to import products.
Consular Work :
I coordinate with consulates, embassies, ministries, official organizations to make
appointments (meeting, lunch, dinner, company sightseeing) by sending formal
letters/calling/emailing. On the invitations to the formal events/ceremonies/ receptions from
embassies/ majesty the king's palaces/ministries/other official organizations, I send by fax or
emails, the reply form of Mr. Consul's attendance/rejection/delegation (for example,
attending the ceremony "writing the congratulatory messages at His Majesty the king's
palace") I often write and send formal letters i.e., condolence, thank letters and New Year
cards etc. to other embassies and consulates. I welcome and take care of ambassadors/consuls
at events held by the Nicaraguan consulate itself.
I coordinate between the customers (who would like to have their documents translated into
Thai, English, Spanish and vice versa) and Legalization Department/Ministry of Foreign
Affairs which makes the translations and notarizes the documents in Bangkok. I am
responsible for notarizing and putting consular seals on customers' documents (Visa,
Passport, and marriage registration documents etc) operated by the consulate itself. Finally, I
make the timetables of events/appointments/meeting and other important situations and keep
my boss informed every morning.
Miscellaneous Assignments:
I book the flight/hotels for the consul when he would like to travel overseas. I am the
personal assistant of the consul at the formal events/affairs.
I translate the contracts and other official documents (directly assigned by my bosses) from
Thai to English and vice versa, such as memorandum of agreements, employment contracts
and proxy documents, etc.
