Position Summary:
Ensures the smooth and efficient operations in the department through prompt, effective and proper reservations service to achieve maximize room revenue in order to meet or exceed the revenue target.
Supervising General Job Performance of reservation staff implementing of policies and procedures under guidance of Director of Sales/Assistant Director of Sales, training, responsible and perform any other duties might requested by Sales & Marketing Team.
Duties and Responsibilities:
1. Having knowledge of entire Reservation Procedure according to International Hotel manual system. (PMS)
2. Responsible for Hotel Reservation
3. Handling of correspondences, sorted - out letters, fax, email which are checked
4. Allocate daily tasks to Reservation Officer.
5. Review reservation booked daily.
6. Review arrival report daily.
7. Responsible for preparation of occupancy forecast.
8. Responsible for training staff.
9. Responsible for implementation of policies and procedures.
10. Responsible for recording Company/Travel Agent Rates both in system and correspondence file.
11. Liaise with Sales team in regards to occupancy, Rates Reservation's Analysis.
12. Identify Top Producing Accounts ensure proper recognition by Reservation Offier/Staff.
13. Knowledgeable in hotel and guest room facilities/services and ensures reservations agents are equally knowledgeable.
14. Responsible for various Production reports and supply to each department concerned.
15. Monitoring Telephone Manner and general performance of reservations staff daily.
16. Ensure special handling of repeats guest and very VIP guest.
17. Observes and ensures that proper telephone manners are maintained at all times
18. Monitors and coordinates group reservations activity with the Sales Department and Revenue Manager
19. Follows up tentative bookings and update reservation status
20. Reviews no-show and cancelled reservations and processes charges according to hotels policy
21. Review room blocking for Long Stay. Suites and special group request.
22. Supervising of Group Reservations.
23. Maintain cordial relations with commercial clients.
24. Bring to the attention Front Office Manager when the hotel availability status be changed and prepare for necessary action.
25. Responsible for work schedule
26. Responsible for maintaining a Neat and Orderly position at all times.
